Job Purpose:

To perform assigned more complex project document control activities independently for a specific data processing scope (e.g. Supplier or Engineering documents). Be responsible for carrying out assigned tasks related to Document control processes with direct accountability to the DC Lead.

Core Responsibilities:
  • Perform more complex project document control activities (e.g. Validate and accept documents from SE system, etc.). Maintain the Distribution Matrix for release and control of project engineering and supplier documentation.
  • Receive, process, control and maintain Engineering and Supplier documents into the EDMS systems. Safeguard data reliability by verifying that data input has been completed with integrity.
  • Maintain records and files, prepare forms and verify data information as requested. Maintain efficient paper and electronic filing system and ensure quick retrieval of requested documents.
  • Coordinate receipts, maintenance and distribution of documents related to project quality, regulatory, classification, statutory certificates and documentation handling.
  • Update and file all documents in process on a timely manner. Ensure that the organization has the latest copies of documents recorded in the system.
  • Assist DC Lead to run and distribute standard and customized periodic reports. Communicate, follow-up requirements and summarize reports.
  • Attend Project weekly meetings and Kick Off Meetings in the absence of DC Lead.
  • Review Suppliers' MDR Index to ensure it covers the entire document deliverable requirements based on approved SDDR list.
  • Participate in Company, Class and Client audits.
Educational Qualification:
  • ITE / A level / Diploma Certification(s):
  • Microsoft Office Training Certificate
Relevant Experience:
  • Knowledge of DC departmental function, terminology and interrelationships.
  • 5 to 6 years DC experience in various areas of DC processes.
  • Ability to develop spreadsheets and modify formats in order to independently complete assignments.
Language(s) and Software:
  • Microsoft Office (Word, Excel, Access, PowerPoint) Documentum, SharePoint
  • Document Management Software - Documentum, PIMS
