Our client, leading the global energy transition, currently requires a Project Co-ordinator/ Executive Assistant to join their team in Norway.

The Project Coordinator/Executive Assistant will play a key role in ensuring the smooth operation of the executive office of the Project Director, as well as other ad hoc duties when required. This role requires a proactive, highly organized, and detail-oriented individual who can manage administrative tasks against tight deadlines in a fast paced environment.

Key Responsibilities
Key Position Specific Responsibilities:
•         Support the Project Director with a variety of administrative and coordination duties, in line with the Project.
•         Maintaining and monitoring project plans, project schedules, work hours, budgets and expenditures.
•         Organising, attending and participating in stakeholder meetings.
•         Documenting and following up on important actions and decisions from meetings.
•         Preparing necessary presentation materials for meetings.
•         Ensuring project deadlines are met.
•         Determining project changes.
•         Providing administrative support as needed.
•         Undertaking project tasks as required.
•         Developing project strategies.
•         Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
•         Assess project risks and issues and provide solutions where applicable.
•         Ensure stakeholder views are managed towards the best solution.
•         Chair and facilitate meetings where appropriate and distribute minutes to all project team members.
•         Create a project management calendar for fulfilling each goal and objective
•         Provide high-level administrative support, including calendar management, meeting coordination, and travel arrangements.
•         Prepare and edit correspondence, communications, presentations, and other documents.
•         Handle confidential information with discretion and maintain the highest level of professionalism.
•         Coordinate and manage executive schedules, ensuring timely and efficient handling of appointments and meetings.
•         Assist with the preparation of reports, agendas, and other meeting materials.
•         Assist in the planning and execution of special projects and initiatives as and when required.

Person Specification
Experience   
•         Proven track record working as a Project Coordinator, or Executive Assistant, or in a similar role.
•         Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
•         Background working as part of a fast paced, global organization preferred.
•         Understand project timeframes and phase gates
•         Experience of working with Project Management and Engineering professionals
•         Ability to work across multi-functions and engineering disciplines
•         Proven experience in program environment
•         Proven stakeholder influencing skills.
•         Experience using computers for a variety of tasks.
•         Competency in Microsoft applications including Word, Excel, and Outlook.
