Role Purpose:
The Office Operations & Executive Support Officer is responsible for supporting the smooth day-to-day operation of the office in Nicosia while providing high-quality administrative and executive support to the Country Lead and wider office team. The role combines office administration, executive coordination, event and meeting support, stakeholder liaison, and basic payables administration in a professional and confidential working environment.

Key responsibilities
  • Provide day-to-day administrative support to the Country Lead and office personnel, including document preparation, filing, scanning, copying, data entry, and records administration.
  • Coordinate meetings, calendars, travel arrangements, accommodation, and related logistics for internal and external stakeholders, both locally and internationally.
  • Support the planning and coordination of meetings, conferences, and other public, business, or government affairs events.
  • Welcome and assist visitors and maintain a professional and well-organized office environment.
  • Oversee general office administration, including office supplies, consumables, office order, cleanliness, and equipment functionality.
  • Maintain office databases, control registers, security records, and visitor logs accurately and confidentially.
  • Liaise with relevant government offices, external service providers, and administrative counterparts where required.
  • Assist with administrative coordination relating to work permits and supporting documentation for out-of-country personnel.
  • Provide basic financial administration support, including invoice follow-up, basic invoice coding, goods receipt coordination, vendor setup support, and related administrative follow-ups.
  • Perform other duties reasonably related to office administration, executive support, and office coordination.

Candidate profile
  • Minimum 3 years of experience in a similar administrative, office support, or coordination role.
  • Excellent command of Greek and English, both written and verbal.
  • Strong organizational skills, attention to detail, and the ability to manage multiple priorities effectively.
  • Strong interpersonal skills and the ability to communicate professionally with internal and external stakeholders.
  • Experience with invoice processing or payables support will be considered an advantage.
  • Ability to handle confidential information with discretion and professionalism.
  • Good working knowledge of Microsoft Office and general office administration systems.
