Position Overview:
This role is a member of the Back Office organization reporting to Finance.  The role provides support to the Supply, Trading and Logistics organization, and is an excellent opportunity to learn different facets of the Trading and Commercial side of the business and the life cycle of a trade.


Responsibilities and Essential Job Functions
  • Draft, review, and dispatch contracts/responses for the purchase and sale of physical Chemicals, Crude Oil, Products, and Renewables, including both waterborne movements and non-marine trades.
  • Work closely with Trading and liaise with Commercial Advisors to ensure that all contracts accurately reflect the terms agreed to and as recorded in the trade capture system (Right Angle), and that all contracts are fit for purpose.
  • Ensure confirmations are dispatched within contractual deadlines.
  • Verify that all incoming counterparty confirmations and broker confirmations accurately capture the contractual terms and conditions and resolve discrepancies in a timely fashion.
  • Make sure all deal related correspondence is filed in the contract lifecycle management system (Salesforce/Apttus).
  • Process electronic confirmations via Ice Trade Vault.
  • Manage daily incoming confirmation correspondence and inquiries within shared mailboxes. 
  • Follow established company and departmental contract processes and procedures.  Identify and suggest updates and/or improvements to procedures as necessary.  Ensure compliance with Motiva’s established records retention policy.
Basic Qualifications:
  • Experience in preparing and reviewing contracts/legal documents.  Understanding of key contractual terms and their potential implications would be an asset.
  • Work under time pressure, meet deadlines and prioritize multiple activities.
  • Demonstrate strong customer service-oriented behavior, a professional attitude, a high degree of accuracy.
  • Operate with minimal supervision and ability to identify and resolve problems in order to meet deadlines.
  • Ability to effectively communicate with Commercial and Trading in order to understand the overall scope of transactions.

Preferred Qualifications:
  • Bachelor’s degree in administration or related field, Paralegal certificate, or equivalent combination or experience and education.   
  • Prior experience in an energy trading and marketing environment and a strong desire to learn.
  • Prior experience with contracts and confirmations processes.
  • Must be able to effectively communicate with Traders and Commercial teams in order to understand overall scope of transactions.
